How to conduct NCEA exams on the Exam.net platform

  • Conducting an exam on Exam.net allows teachers to be in control of the exam and prevent students from using other applications. The following guide aims to provide schools and teachers an efficient way to conduct the NCEA assessments on Exam.net.

    Before the exam

    1. Create a new exam on Exam.net. The easiest and quickest way is to upload the NCEA exam as a PDF. When the students enter the exam, they will get a split screen with the PDF exam and a writing area next to each other.

    2. Under Student information in the exam configurations, request students to enter their first name, email address and NSN. Make sure to configure the Student number field name to National Student Number (or NSN).

      Why do we need this data?

      First name - the primary reason is for teachers to easily identify and keep track of the students in the monitoring view. 

      Email - to send out the student relf-resume key and to send the final paper to be uploaded.

      NSN - to print the NSN on the final paper that is submitted to NZQA.


    3. Under the exam configurations, choose the security mode that is preferred. If you are unsure of what settings to choose, consult the FAQ.

    4. Save the exam and schedule it to open on the first exam day under Access.

    On the exam day(s)

    1. If the exam is scheduled it will automatically open on the scheduled time, otherwise open the exam manually under Access.

    2. Share the exam key with the students. This can also be done in advance, no students can enter the exam before the access is set to Open.

    3. Let the students conduct the exam. If any student needs extra accommodations you can enable these individually as soon as the student has entered the exam.

    4. Remember to close the access to the exam between sessions. Note that you can close the access for entrance as soon as all the students have entered the exam.

    5. For students to re-enter the exam, they can fetch the resume key that was emailed to them when they entered the exam on the first session. If they have lost the email, the teacher can find their keys in the monitoring view.

    After the exam

    Alternative 1 (if students are to upload their own work to NZQA)

    1. Share the exam with students email via link. Go to Monitor/Results → Results → Send → Student answer. Make sure that you have not selected a specific student if you want to send the exam to all students at once. 

    2. Inform the students that they need to remove their personal data from the exam.

      Students can fetch the exam from the link they get in an email. This will lead to a web version of the exam that can be reached from any browser. There, they can click the Hide personal data button in order to only show their National Student Number.

    3. Students can save the exam to their local device as a pdf by printing it (for example by using cmd+p on mac or ctrl+p on Windows) and choosing Save as PDF as destination.

    4. Students can now log in to the NZQA portal and upload their exams.

    1. Go to Monitor/Results → Results → Download → PDFs (without names).

    Some additional tips to make the experience better

    • For exams that will be conducted over multiple sessions, we recommend enabling the Student self-resume feature when setting up the exam. This feature automatically generates and sends a unique code to students, allowing them to seamlessly re-enter the exam during their next session.

    • We do not recommend using our LMS integrations for the external assessments, but we do recommend using the Copy link to exam feature for students to get easy access to the exam. The easiest way is to copy the link in the exam’s monitoring view and send it in the LMS chat for students to access it.

    • To guarantee that the correct students enter the exam, use the Enter allowed email addresses feature and enter the email addresses for the students who are allowed to enter.

    • Use high-security mode if you want to ensure that students cannot access the internet nor can receive notifications or activate the screen saver. Use the medium security mode if students do not or cannot install our app or if students should not be fully locked.

      Note that Exam.net also offers a mode that allows students to choose in what lockdown mode to enter the exam. This could be useful when specific students for some reason cannot enter the exam in High lockdown mode.
